This Privacy Policy applies to Prism PPM’s online workplace productivity tools and platform, including the associated mobile and desktop applications (collectively, the “Services”), Prism websites (collectively, the “Websites”), and other interactions you may have with us. If you do not agree with the terms, do not access or use the Services, Websites, or any other aspect of Prism’s business.

2. Information We Collect and Receive

Prism collects and receives Customer Data and other information and data (“Other Information”) in a variety of ways:

• Customer Data: Customers or individuals granted access to a PPM by a Customer (“Authorized Users”) routinely submit Customer Data when using the Services.
• Account Information: To create or update an account, you supply us with personally identifiable information, such as your e-mail address, name, home or work address, phone number, password, and domain. We also collect billing details (e.g., credit card information) for paid versions.
• Demographic Information: We may collect anonymous demographic information, such as your ZIP code, age, gender, preferences, interests, and favorites.

    • Log Data: Information automatically collected about your computer hardware and software, including your IP address, browser type, domain names, access times, and referring Website addresses.

    • Location Information: Approximate location determined by IP address or business address.
• Contact Information: Contact information an Authorized User chooses to import (e.g., a device address book).
• Third-Party Services & Data: Information from enabled integrations or data from affiliates, partners, and marketing campaigns.
• Public Forums: Please keep in mind that if you directly disclose personally identifiable information or personally sensitive data through Prism public message boards, this information may be collected and used by others. Note: Prism does not read any of your private online communications.

3. How We Use Information

Prism uses the information we collect to operate our Websites and deliver the services you have requested, in accordance with our legitimate interests. Specifically, we use information:

• To provide, update, maintain, and protect our Services, Websites, and business.
• To inform you of other products or services available from Prism and its affiliates, or to conduct surveys about your opinion of current or potential services.
• To develop and provide search, learning, and productivity tools, and to deliver customized content and advertising to customers interested in a particular subject area based on tracked behavior.

• For billing, account management, and other administrative matters.

Sensitive Information: Prism does not use or disclose sensitive personal information, such as race, religion, or political affiliations, without your explicit consent.

4. How We Share and Disclose Information

Prism does not sell, rent, or lease its customer lists to third parties. We may share and disclose information in the following ways:

• Customer’s Instructions: Customer Data is shared solely in accordance with a Customer’s instructions.
• Trusted Partners and Service Providers: Prism may share data with trusted partners to perform statistical analysis, send email or postal mail, provide customer support, arrange for deliveries, or provide virtual computing and storage. All such third parties are prohibited from using your personal information except to provide these services to Prism, and they are required to maintain confidentiality.
• External Business Partners: We may occasionally contact you on behalf of external partners about a particular offering, but your unique personally identifiable information is not transferred to the third party.
• Collaborating and Displaying: Authorized User profile information may be displayed to others in the same or connected PPMs to facilitate collaboration.
• Legal Requirements: Prism will disclose your personal information, without notice, only if required to do so by law or in the good faith belief that such action is necessary to conform to legal process, protect and defend the rights or property of Prism, or protect the personal safety of users or the public.

5. Data Retention

Prism will retain Customer Data in accordance with a Customer’s instructions and applicable law. Prism may retain Other Information pertaining to you for as long as necessary for the purposes described in this Privacy Policy, including to pursue legitimate business interests, conduct audits, resolve disputes, and enforce our agreements.

6. Security of Your Personal Information

Prism takes data security very seriously. We secure the personally identifiable information you provide on computer servers in a controlled, secure environment, protected from unauthorized access, use, or loss. When personal information (such as a credit card number) is transmitted, it is protected through the use of encryption, such as the Secure Socket Layer (SSL) protocol.

7. Cookie Policy

What is a cookie?

Cookies are small text files placed on your hard disk by a Web page server, which enable Prism features and functionality. Cookies cannot be used to run programs or deliver viruses to your computer. They are uniquely assigned to you and can only be read by a web server in the domain that issued the cookie. To the extent prohibited by applicable law, Prism PPM does not allow use of our Services and Websites by anyone younger than 16 years old. If you learn that anyone younger than 16 has unlawfully provided us with personal data, please contact us immediately.

Prism may transfer your Personal Data to countries other than the one in which you live, utilizing safeguards such as the E.U.-U.S. Privacy Shield, Swiss-U.S. Privacy Shield, and European Union Model Clauses.

Individuals in certain countries, including the European Economic Area, have statutory rights to request access to, update, delete, or correct their personal data. You also have the right to object to direct marketing, restrict processing, and lodge a complaint with your local data protection authority.

Identifying the Data Controller and Processor: In general, the Customer is the controller of Customer Data, and Prism is the processor of Customer Data and the controller of Other Information.

10. Changes to this Privacy Policy

Prism will occasionally update this Privacy Policy to reflect company changes, legal requirements, and customer feedback. We will post the changes to this page and encourage you to periodically review this Statement. If we make material alterations, we will provide additional notice.
